Panel Management Coordinator – Durban

A Panel Management Coordinator position is available in Durban, Kwazulu Natal, South Africa.

Our client within the finance and lending sector wishes to appoint a Panel Management Coordinator to join their branch based in the Northern suburbs of Durban.

Key Purpose:

To assist with effective and efficient management of the Attorney Panels with a key focus to gradually grow the referral panel.

To ensure SLA’s are adhered to and that performance metrics are met by all panel attorneys. To manage the allocation models as per agreed business strategies and ensure digitization objectives are met.

Achieving the Operations and Client Experience objectives in the registrations and client onboarding processes.

Key Accountabilities:

Manage the referral panel attorneys for optimum effectiveness and efficiencies against the agreed SLA:

The Bond Registration process.

• To improve the turnaround time from Instruction to Registration process
• Focus on reducing the delays caused by the Compliance process through training and quality management
• Alignment to the company service standards and special arrangements per specific panel etc.

Relationship management:

• To build and maintain strong business relationships with each of the attorneys on the referral panel.
• To drive the company values continuously with the referral attorney panels, to ensure they are aligned to our core purpose.
• To manage the flow of communication and feedback to improve quality, turnaround times, client experience etc.
• To monitor and manage the volume of origination in line with agreed targets and commitments

Quality Management:

• To evaluate the Balance Scorecard for Referral Attorney to report to Senior Management
• To assess applications, select and suggest appointment of suitable attorneys for the company referral panel as per the business strategies.
• To contract and induct new attorneys onto the Referral panel.
• Detailed training offered to each attorney on the following: workflow, Registration dept. processes, fee structures, Amazing service, document management process,company business methodologies and business language
• To highlight poor performing attorneys to management for review and to offer a performance improvement plan to such attorneys
• To manage the referral attorneys against BSC and agreed QMS

Administration and Compliance:

• Ensure updated BBBEE certificates are on file for each attorney
• Ensure that all indemnity insurance documents are current for each attorney and on file
• Maintain a record of Powers of Attorney for each SPV for each attorney
• Ensure Standard Bank Guarantee mandate is communicated with each attorney
• Ensure that SLA is updated when and if necessary and are on file (and to manage attorneys accordingly).
• Ensure that Referral Panel Attorney staff changes are recorded on the system and that their new staff are trained timeously
• Assist with the appointment of Correspondents and issue of agent ID’s.
• Reporting on key dashboard items as agreed to management.

Allocation of Instructions:

• Review the work allocation model weekly and report accordingly to senior management
• Utilisation of the allocation model to monitor the referral attorney’s monthly instructions allocations contributions as per agreed benchmarks
• Manage the referral attorneys’ performance to the above
• Manage the referral business from these attorneys and the consultant requests for specific attorneys

Key Requirements:

• Matric
• Related Business or Admin Degree / Diploma (preferred)
• Minimum of 5 years of experience in Home loan industry
• 5 to 10 years equivalent experience managing vendors within the finance industry
• Valid Driver License
• Computer literacy – MS Office (Intermediate)
• Understanding of the Conveyancing process
• Willingness to travel at short notice

Remuneration: Monthly salary offering of R 18 000.00. CTC (inclusive. of benefits)
